Fleet Operations & Monitoring

Fleet Operations Support for Commercial Fleets

Managing a fleet takes coordination across vehicles, drivers, schedules, maintenance follow-ups, records, and reporting. Callstones provides outsourced fleet operations support tailored to your workflows, helping your team manage recurring tasks while you retain control over operational decisions.

Remote Support for the Recurring Work Behind Your Fleet

Much of fleet management is repetition: checking what is due, reminding the right person, recording what happened and reporting it. A remote team can carry that workload by following your procedures and working in the systems you authorize. The decisions remain yours.

What We Can Take On

The routine administrative and coordination work that keeps a fleet’s records and follow-ups in order.

  • Monitoring your fleet live through the platforms you authorize
  • Keeping vehicle and driver records up to date
  • Tracking the renewal and due dates you ask us to follow
  • Sending reminders and chasing outstanding paperwork
  • Arranging appointments once you have approved the work
  • Preparing the reports you have agreed with us

What Stays With You

We support your operation. We do not replace your authority over it or your responsibilities as the fleet owner.

  • Safety decisions about vehicles and drivers
  • Approval of every repair and every cost
  • Choice of vendors and repair shops
  • Legal, licensing, insurance and regulatory responsibilities
  • Hiring, managing and paying your drivers

Services We Can Support

Fleet Operations Services, Scoped to Your Fleet

Choose the areas where support would help most, whether you run trucks, delivery vans, service vehicles or another commercial fleet. Each task is carried out to your procedures, using your records and the systems you give us access to.

  • Live Fleet Monitoring

Where agreed, watch your vehicles in real time through the tracking or telematics platform you authorize, and alert your designated contacts to the events you want flagged.

  • 24/7 Operations Coverage

Support around the clock where agreed, or only during the hours you need, with coverage arranged around your operation and time zone.

  • Fleet Administration

Keep vehicle and driver records organized, follow the document renewal dates you want tracked, and chase paperwork that is missing or due.

  • Fleet Reporting

Receive agreed summaries built from your own records: what was completed, what is outstanding, and what is waiting on your decision.

  • Maintenance Coordination

Track service and inspection due dates, send reminders, and arrange appointments with your vendors once you have approved the work.

  • Driver Coordination

Handle routine messages to drivers, such as reminders, document requests and appointment confirmations, and pass on your instructions.

  • Telematics & Fleet Data Support

Work with your authorized fleet tracking or telematics platform to review available vehicle data, flag agreed alerts, maintain operational records, and prepare reports for your team.

  • Fuel and Cost Reporting

Compile the fuel and operating-cost data you provide into clear summaries, with unusual entries pointed out for you to review.

Looking for load booking, broker communication and rate negotiation instead? That is truck dispatch, which we treat as a separate service.

How Fleet Operations Support Works

  1. Understand Your Workflow

We learn how your fleet runs today: your vehicles, drivers, vendors, systems, and the recurring tasks that take up your time.

  2. Agree Responsibilities and Reporting

We agree in writing which tasks we take on, who at your company approves what, and which reports you receive and when.

  3. Establish Access and Procedures

You authorize the systems and information we need, and we align our work with your procedures and contacts.

  4. Begin the Agreed Support

We carry out the agreed tasks, during set hours or around the clock, and report back through your chosen channels.

Working Arrangement

An Arrangement Agreed Around Your Operation

No two fleets run the same way, so there is no fixed package. Before any work starts we agree the details with you, and they can be revised as your needs change.

Live monitoring and 24/7 coverage are available. The exact coverage, monitoring tools, access and responsibilities are agreed with you, and monitoring covers the systems you give us access to.

Agreed with each client

  • Responsibilities. The tasks we take on, and the decisions that always stay with you.
  • Systems. Which of your systems we work in, and the access you choose to give.
  • Reporting frequency. What you receive, how often, and who receives it.
  • Monitoring arrangements. What we monitor, on which platforms, whether live or at set times, and who we alert.
  • Coverage hours. 24/7 coverage, or set hours around your operation and time zone.

FAQ

Frequently Asked Questions

Common questions about outsourced fleet operations and administrative support.

  • It means an outside team takes on agreed parts of the recurring administrative and coordination work behind your fleet, such as keeping records current, tracking due dates, following up with drivers and vendors, and preparing reports. Your company keeps running the fleet and making its decisions. Callstones supports the work behind it.

  • The areas we can discuss are live fleet monitoring and 24/7 coverage where agreed, fleet administration and document tracking, fleet reporting, maintenance and inspection coordination, routine driver coordination, telematics and fleet data support, and fuel and operating-cost reporting. These can apply to trucking, delivery, service and other commercial fleets. You can take one area or several. The exact tasks are set out in the scope we agree with you.

  • We track the service and inspection dates you give us, remind you when they are coming due, and arrange appointments with your vendors after you approve the work. We do not approve repairs, choose vendors or agree to costs on your behalf. If a shop reports extra work or a different price, that goes back to you for a decision.

  • That is agreed with you before work starts: what each report covers, how often it is sent and who receives it. Reports are built from your records and the data you provide. Where information is missing we say so in the report instead of estimating.

  • Yes, where agreed. Live fleet monitoring and around-the-clock coverage are both available. Monitoring is carried out through the tracking or telematics platforms you give us access to, so it covers those systems only. What we can see and flag depends on what each platform provides. Which vehicles and events we watch, who we alert and how, and whether coverage is 24/7 or set hours are agreed with you before work starts. When monitoring flags something, we alert the contacts you designate; the decisions stay with you. We do not claim certification or partnership with any telematics provider.

  • You do. Decisions about whether a vehicle or driver should operate, approval of repairs and spending, and all legal, licensing, insurance and regulatory responsibilities stay with your company. Requirements vary by location and type of operation, and tracking a due date for you is not a guarantee of compliance.

  • No. Billing, invoicing, bookkeeping, collections and driver settlements are not part of fleet operations support. Fuel and cost reporting is a summary of the data you provide. It is not accounting.

  • 24/7 coverage is available, and so are set hours if you only need support at certain times. The coverage you choose, and how your drivers and staff reach us, are agreed with you as part of the arrangement.

  • We start by understanding how your fleet runs today. We then agree responsibilities, approvals and reporting in writing, set up the access you authorize, and begin the agreed support. How long this takes depends on your operation and how readily the information is available.

  • Use the enquiry form on this page, or call, WhatsApp or email us. Tell us about your fleet, the systems you use and the work you would like help with, and we will talk through what we can and cannot take on.

    Discuss Your Fleet Requirements
  • Fleet operations support can suit trucking fleets, delivery fleets, service and work-vehicle fleets, and other commercial fleets, depending on the tasks involved and the access you provide. We’ll confirm whether your operation is a good fit when we discuss your requirements.

  • Fleet operations support covers the administration and coordination behind your fleet. Truck dispatch is a separate service focused on freight loads: finding loads, broker communication, rate negotiation, booking approvals, and pickup and delivery coordination.
