Daily Dispatch Workflow

From the Day’s Schedule to Assigned, Covered Trips

Each day starts with the trip schedule your operation receives. Dispatch is more than entering those trips into software: it means deciding which driver takes which trip, and keeping those assignments workable as the day moves.

Your company remains the transportation provider. We work in your systems, with the access you authorize, following your procedures.

How each day runs

  1. Receive the scheduleStart from the assigned trip schedule your operation receives for the day.
  2. Review the tripsCheck pickup times and locations, the vehicle type each trip needs and any mobility needs noted on the trip.
  3. Assign available driversMatch trips to drivers by who is available, their working hours and the vehicles they have.
  4. Coordinate through the dayConfirm assignments with drivers, pass on changes and keep your team updated through the agreed channels.

Schedule Changes and Coverage

When a Driver or Vehicle Drops Out, the Schedule Is Reworked

Schedules change after they are prepared. Handling those changes is a core part of daily dispatch: the aim is to keep assigned trips covered and avoid cancellations that start on the operation’s side.

  • A Driver Is Unavailable or Absent

When a driver becomes unavailable, we review the affected schedule and redistribute trips among other available drivers wherever feasible. We adjust assignments, coordinate with the drivers involved and work to cover as many scheduled trips as reasonably possible, while considering pickup times, driver availability, working hours and operational constraints.

  • A Vehicle Breaks Down

When a vehicle becomes unavailable, we review the affected trips and look for alternative driver and vehicle arrangements where possible. We coordinate the necessary changes and keep the operator's designated contact informed.

  • A Trip Cannot Be Covered

If a trip still cannot be covered after we explore available options, we promptly contact the operator's designated contact and request reassignment or unassignment according to the operator's procedures. We do not independently remove trips without authorization.

Not every trip can always be covered. The aim is to catch problems early, use the drivers and vehicles available, and keep your team informed when a trip is at risk.

Patient Communication

Compassionate Communication With Patients

NEMT dispatch involves more than scheduling trips. It also requires thoughtful communication with patients who may have different health conditions, mobility limitations or individual support needs.

Our dispatchers understand the importance of patience, empathy and clear communication when contacting patients to coordinate pickups, confirm trip details or address delays. They aim to handle difficult conversations calmly and respectfully, including situations where a patient may be anxious, confused, frustrated or distressed.

When a concern requires additional assistance, our team follows the agreed escalation procedure and coordinates with the appropriate contact.

When we speak with patients

  • Coordinating pickups
  • Confirming trip details
  • Explaining and handling delays
  • Escalating concerns through the agreed procedure

Daily Coordination

Practical Scheduling With the Resources You Have

Good dispatch looks beyond the next trip. Dispatchers plan the day around the drivers and vehicles you actually have, to keep pickups on time and reduce unnecessary driving where that is feasible. The planning is done by people working in your systems; it is not automated route optimization.

Where you authorize it, two passengers can sometimes be accommodated in the same trip or schedule. This is only arranged when the applicable requirements permit it and when passenger needs, vehicle capacity and timing allow.

What dispatchers weigh

  • Driver availability and assigned working hours
  • Which vehicles are available, and where they are
  • Pickup and drop-off times
  • Nearby trips that can cut unnecessary travel
  • Driver workload, fatigue and other practical limits

GPS Trip Verification

Every Trip. Both GPS Checkpoints. Properly Followed Through.

Missing GPS records at pickup or drop-off can lead to trip verification or payment problems, depending on the operator and program requirements that apply. Our dispatch team helps your operation follow its GPS logging procedures and identify missing checkpoints before trips are treated as complete.

  1. Checkpoint 01 · Pickup

    Pickup GPS Confirmation

Follow the driver's required pickup-location logging procedure and check that the required confirmation is recorded in the client's system.

  2. Between checkpoints

    Trip Progress and Exceptions

Follow the agreed dispatch workflow and flag missing or incomplete GPS records when they can be identified through available system information.

  3. Checkpoint 02 · Drop-off

    Drop-off GPS Confirmation

Follow up with drivers on the required drop-off logging step and escalate unresolved exceptions according to the operator's procedure.

Callstones provides outsourced dispatch support, not proprietary GPS software. GPS access, logging rules, and verification depend on the client’s systems and applicable requirements.

Reporting and Handover

A Clear Record of Every Dispatch Day

At the end of each day or shift, the team prepares an operational report in the format you agree. It shows which trips were completed, which were not and the known reasons, any driver performance concerns, and the unresolved issues that still need follow-up.

When a trip is not completed, the report records the actual reason where it is known: for example, a passenger not answering the phone, a driver or vehicle issue, or another reported exception.

Driver observations and reported concerns are passed to you for appropriate follow-up. Investigating complaints and any action involving drivers remain your company’s decisions.

What a daily report can cover

  • Trips completed and legs fulfilled
  • Trip exceptions and trips not completed, with the recorded reason where known
  • Individual driver performance observations and recurring operational issues
  • Driver responsiveness to dispatch instructions and adherence to assigned schedules or agreed procedures
  • Required GPS logging exceptions, where visible or reported
  • Reported complaints or concerns about driver conduct and passenger interactions
  • Outstanding issues requiring follow-up or handover

FAQ

Frequently Asked Questions

Common questions about outsourcing NEMT dispatch operations.

  • An outside team handles agreed parts of your non-emergency medical transportation dispatch work, following your procedures. Your company remains the transportation provider; Callstones supports the dispatch operations behind it.

  • Typically: reviewing the day's assigned trip schedule, assigning available drivers, reworking assignments when drivers or vehicles drop out, following up on GPS logging at pickup and drop-off, and preparing the daily report and handover. The exact tasks are set out in the scope we agree with you.

  • The team reviews the affected trips, moves them to other available drivers where possible, and keeps the drivers and your team informed. • Reports can include trip or invoice numbers, patient names, trip status, assigned drivers, driver working hours, patient non-response, GPS logging exceptions, driver performance observations and issues requiring follow-up. Reports are prepared in a format agreed with you and shared only through your approved, secure reporting channels.
